    Warm Up Schedule:

    Friday – Open Warm Ups from 4:30 – 5:30 p.m. – Lanes 1 & 10 are for starts only

    Saturday & Sunday

    Dolphin Warm Ups: 7:00 a.m. – 7:15 a.m. – Lanes 5 & 6 - Starts only in Lanes 1 & 10

    Competition Side of the Pool: For safety purposes, warm up times and lanes will be assigned by team and based on the number of swimmers entered in the meet.

    A TEAM COACH MUST BE ON DECK SUPERVISING WARM UP ACTIVITIES—SWIMMERS CANNOT ENTER THE WATER UNLESS THE COACH AND LIFEGUARDS ARE PRESENT. The coach is responsible for the safety of their swimmers during warm ups.

    Lanes 1 and 10 will be designated as "DIVE" lanes and that is the only warm up activity that is to take place in that lane.

    All other lanes are for CIRCLE SWIMMING ONLY. There is NO DIVING IN CIRCLE SWIMMING lanes. Entry to these lanes is to be feet first entry from a sitting position at all times.

    Non-Competition Side of the Pool (Warm Up Pool): Only swimmers entered in the meet are allowed in the warm up pool and only warm ups or cool downs are allowed. For better control, lanes will be designated by age group. Warm up pool will be open: Friday starting at 4:30 pm; Saturday & Sunday starting at 7:00 am.

    Ground Site Rules:

    Access to the pool area for decorating and/or setting up team areas will begin at 12:00 p.m. on Friday, August 3rd and NO earlier.

    Posters may be hung on fences and/or bleachers only, NOT on any buildings.

    Please limit food and drink to grass areas not the pool deck.

    Use of Alcohol is strictly prohibited. The police will be called to arrest individuals in violation of this policy. All City Pool Rules must be followed at all times.

    Parking:

    Parking is very limited, and the event organizers encourage families to only bring one vehicle to the swim meet. Please represent our team well and be courteous to the neighbors. Please park respectfully. Do not block driveways. Do not litter in yards or loiter in front of houses.

    The City of Concord has required us to pay for a parking officer because of the past problems. We all need to work together to solve this problem. There will be a drop off area in front of the pool.

    The only parking spots that will be reserved at the pool’s parking lot; will be one row in front of the Tennis Courts for tennis players only and a few spots for our Meet Officials (i.e., Head Referee, Starters, etc.).

    Team Area:

    The team area will be marked however we will not know the exact location until closer to the meet.

    Access to the pool area for decorating and/or setting up team areas will begin at 12 pm on Friday, August 4th and NO earlier.

    Also, we will need people to help set up the team canopies on Friday at noon. If you are available, please reply to this email.

    Food:

    There will be a variety of vendors selling food and wares. There will be a coffee vendor outside the back gate on Sat and Sun. A snack shack will be open on Friday night with limited items and on Sat and Sun with an extensive menu.

    Clerk of the Course:

    • All swimmers MUST check in with the Clerk of the Course for all events and may enter the pool area through the Clerk ONLY. If a swimmer does not check in, they will not be allowed to swim in that event. If a finalist is a “no-show” a “first call” will be announced. If the swimmer still does not show up, a “final call” will be announced and then the Alternate will be seated with that heat. Once the Heat STANDS up to exit the Clerk of the Course, The Finalist will be scratched and the Alternate is moved to the Finals. The Head Referee’s decision regarding these matters will be final
    • 8 & Under Swimmers: The City Meet Officials are asking that only the team shepherds bring the swimmers down to the clerk of the course. They do not want parents to bring their individual swimmers to the clerk as the area gets crowded and overwhelming for the younger swimmers. If you feel that you need to take your swimmer to the clerk of the course, we recommend that you sign up to work as a shepherd or ask your swimmer’s shepherd if you can step in to help.
    • Swimmer Classifications and Divisions:
    • ‘A’ Division – all individual & relay events
    • ‘B’ Division – individual events only
    • These separate divisions are not intended to classify swimmers as one type or the other. In fact, a swimmer may be an ‘A’ swimmer in one event and a ‘B’ swimmer in another. It is meant to provide opportunities to receive special recognition by participating in the finals of a championship meet. Operation of the ‘A/B’ Divisions will be as follows:
      • 1.‘B’ Division will apply ONLY to individual events; the ‘B’ relays are not scored and the purpose is to allow swimmers to participate in additional races.
      • 2.The ‘A’ Division Finalists will be the 10 fastest trial times, no matter where the swimmer was seeded based on entered times. The alternates for the ‘A’ Division will be the next two fastest swimmers.
      • 3.A ‘B’ Division seeded swimmer will only qualify for the ‘A’ Division Finals if they have one of the 10 fastest trial times or 10 fastest final times in the IM (as the IM is a timed final). For example, if a swimmer who is originally seeded in the ‘B’ Division swims in the seventh fastest overall time in the IM, he or she will be scored seventh place in the ‘A’ Division. The exception to this is the ‘B’ Division 6 & U breaststroke & butterfly swimmers, who are not eligible to move up to the ‘A’ Division finals due to the special stroke & turn considerations being allowed for these strokes.
      • 4.The ‘B’ Division Finalists will be the 10 fastest trial times of ‘B’ Division entries NOT qualifying for the ‘A’ Division Finals with the alternate being the next fastest. An ‘A’ Division entry may NOT qualify for the ‘B’ Division Finals.
      • 5.No-shows and scratches will not change the ‘A’ or ‘B’ Division seeding. Seeding is based on the entered times as received.
      • 6.There will be 10 final lanes and awards to 10 places, however scoring will only go to 8 places.

    Finals:

    It is your responsibility to check the results sheets (or check Meet Mobile) to find out if your swimmers is in the finals. There will be a “FINALS” event for both ‘A’ Division and ‘B’ Division.

    Each “FINAL” event will be the top 10 swimmers. Two alternates will be listed for each individual “FINAL” event. The Alternates should check in with the Clerk of the Course and be present and ready to swim in an opening occurs.

    If your swimmer places in the finals (or in a swim off for the finals) it is your responsibility to make sure that your swimmer makes it to the clerk of the course on time.

    Sportsmanship Plaque – awarded to the team that best exemplifies the spirit of sportsmanship as voted on by participating teams. (Side note: discuss this with your swimmer/s ahead of time. Remind them to shake hands with their opponents after each race, be courteous and helpful. Parents & coaches are being watched all weekend as well. Let’s show our fellow teams some of our Vista Diablo love!)

    Outstanding Boys and Girls RELAY Team Plaque – awarded to the relay team, where consideration is based on a specific Relay event (Medley or Free).

    Meet Events:

    The list of Swimmers and what events they are entered in is included in the attached document.

    To find out the Heat and Lane Information for your swimmer you must purchase a meet program from the meet. Programs will be available to purchase for $7. On Friday, programs will be sold at the back gate from 12-2 p.m. and from 4- 6 p.m. and at the front gate from 4 – 6 p.m. Concord City Meet can be found on Meet Mobile & Twitter.

    Your swimmer may have been entered to swim the relays at city meet. These are not the final set relays. All swimmers and/or their parents need to check in with the coaches to find out if their swimmers will be swimming in the relays.

    ALL DOLPHIN FAMILIES MUST CHECK IN WITH THE COACHES PRIOR TO LEAVING THE CITY MEET. THE RELAYS ARE NOT OFFICIALLY SET AND YOUR SWIMMER MAY BE SIGNED UP TO SWIM THEM. IF YOUR SWIMMERS MISSES THE RELAY THE WHOLE RELAY MAY END UP SCRATCHED.

    Additionally, as described above, your swimmer may have made it to Finals.We will post the swimmers that made it to Finals in our Team Area. Do not leave City Meet before checking to confirm Relays and Finals to confirm that your swimmer is done for the day.

    Work Assignments:

    All Workers must sign in on the clipboard that will be located in the main team events (near the food tables. If you don’t sign in, then you will not receive credit. All timers will find the stop watches at the same location.

    Stroke & Turn

    Each participating team is responsible for providing stroke and turn officials. All officials must be on deck, as assigned, at least 15 minutes (5:45pm Friday; 8:15am Saturday and Sunday) before the beginning of the meet and before the end of break each day. All Officials must dress according to USA Swimming rules: white shirt and blue shorts/pants. This insures that Stroke & Turn Officials are easily recognized by the Head Officials.

    As we will be running 10 lanes, we will have three (3) people watching lanes at each end and four (4) people to float in between the others when they are writing up DQ’s.

    Timers & Recorders

    Please have EXPERIENCED workers fill these jobs. Each team is responsible for providing relief timers for their assigned lanes. We do NOT need a work assignment schedule from your team. It is your Team Director’s responsibility to make sure that the below positions/chairs are filled for the entire meet. Each team must provide their own stopwatches.

    • Friday evening workers should be in their seats by 5:45pm.
    • Saturday and Sunday morning workers should be in their seats by 8:15am.
    • We will not stop the meet for a shift change.

    One timer will also need to record; one will need to take the manual time; and one will hand out heat winner ribbons.

    Shepherds

    Each team MUST assign shepherds to assist with their 6 & unders and 7/8’s. They must be brought in as a group, not individually, by a shepherd or coach to the Clerk of Course.

    Marshals for Warm-Up and Competition Pools

    We will have four (4) marshals at the Warm-Up Pool at all times. We will also have three (3) marshals at the Competition Pool entrances. Only people with a wristband will be allowed on the deck (except for the timers).

    Sportsmanship Award Committee

    Friday, Saturday and Sunday: ONE representative from EACH team should be able to serve all three days. The representatives will select the winner(s) based up on the established criteria. The representatives from all teams will meet on Saturday, August 6 at 8:00am with Shannon Brandt. If necessary, they will also meet on Sunday, August 7 at 8:00am. Voting will take place immediately following the conclusion of the meet on Sunday. The meeting place will be in front of the lifeguard’s office.
